
Group Travel Agreement
This letter follows my phone meeting during which we discussed your event and our professional role in helping you plan it. It is our understanding that, you will retain Romantics Travel as your Travel Specialist for your group's travel event.
Due to our exclusivity, availability, and the amount of personalization each trip requires, Romantics Travel only takes on a limited number of groups for travel planning. Our recommendations are based on years of personal experience and professional expertise. All we ask is that you have a mutual level of commitment to us that we have for you. Saving time and stress is just one of the many reasons you have chosen to consult with a professional Travel Specialist.
For all group trips, we require a $150.00 Trip Development Fee. This fee is separate, non-refundable, and not applicable to your trip.
Description of Services:
As Travel Specialists, our role includes:

24/7 Service whilke on your trip.

Assistance in the choice of destination/resort. Based on our initial discussion, Romantics Travel will research and present up to 3 resorts and their inclusions. Additional resorts, over the intial three, will incur a $50.00 service fee each.

Securement of the group contract with the resort as well as any available perks and group amenities.

Arrangement of all travel plans: round-trip air, hotel accommodations, transfers to and from airport/hotel, travel insurance, optional excursions, and payment plans for the group.

Assistance with payment plans.

Guidance through the travel process and liaison with onsite resort staff and our travel suppliers.

Creation of a custom group mini-website.

Our role as a point of contact for all traveling group members booked with Romantics Travel.
Romantics Travel will make every reasonable effort to communicate with the group leader, as long as phone numbers, mailing addresses and electronic communication means are kept current.
Romantics Travel will only assist those members of the group actually booked with Romantics Travel.
You will make payments directly to Romantics Travel. If litigation occurs, it occurs in the jurisdiction where our office is located and the winning party will be reimbursed for attorney and legal fees and court costs.
It is your responsibility to notify Romantics Travel of any changes in a timely manner. We shall not be held liable for any changes made by you that are not communicated to us.
We will use our professional judgment when taking action in regard to changes, weather, tardiness, non-performance, etc. based on the situation, time limitations and/or your wishes.
Term /Termination:
This agreement will terminate automatically upon completion of the services required by this letter of agreement.
Changes/Cancellations:
Any changes made to this letter of agreement must be made in writing and signed by all parties. You may cancel this agreement, in writing, for any reason. If group travel is cancelled, individual cancellation fees of $50 per person will be will be charged on top of any current supplier cancellation fees. All tour operator, hotel, and air contract cancellation policies, and penalties will still apply.
This service agreement only applies to travel planning provided by Romantics Travel. This agreement does not represent resort, airlines and other vendor’s services.
